Sydney Olympic Park Archers Inc. (“SOPA”, “we”, “us” or “our”) respects your privacy and is committed to handling personal information responsibly.
This Privacy Policy explains how we collect, hold, use and disclose personal information through our website at sopa-archery.org.au, including when you contact us, submit a membership enquiry, make an event booking, or otherwise interact with us online.
This policy is intended to align with the Privacy Act 1988 (Cth), as amended from time to time, and the Australian Privacy Principles to the extent they apply to SOPA and its handling of personal information.
1. What information we collect
Depending on how you use our website and services, we may collect personal information such as your name, email address, phone number, suburb or location, age group or participation details where relevant to a program or event, membership or archery-related information you choose to provide, event booking details, payment-related information associated with a transaction such as booking status, payment confirmation, transaction reference and event registration details, correspondence you send to us, and technical information generated through use of the website such as IP address, browser type, device information, website activity logs, cookies and similar usage data.
We do not store your full credit or debit card details in the website database. Card payment details entered during online transactions are transmitted securely a third-party payment processor.
2. How we collect personal information
We may collect personal information when you complete and submit a membership enquiry form, contact us through the website or by email, register or make a booking for an SOPA event using our website booking system, make a payment connected with an event booking, subscribe to communications if that feature is introduced in the future, or otherwise provide information to us voluntarily.
We also collect certain technical data automatically through website technologies such as cookies, analytics tools, server logs and similar tracking technologies used to understand website traffic, website performance and user interactions.
3. Why we collect personal information
We collect, hold, use and disclose personal information for purposes including responding to membership enquiries and other enquiries, administering club communications, managing participation in SOPA events, competitions, coaching activities and programs, processing bookings and associated payments, maintaining website records and backend administration, communicating with participants about bookings, events, schedules, updates and club matters, improving the website and user experience, and complying with legal, regulatory, insurance, governance or safety obligations.
We may also use personal information for related purposes that you would reasonably expect in connection with your dealings with SOPA.
4. How we use your information
SOPA will use the personal information collected for the purpose disclosed at the time of collection, or otherwise as set out in this Privacy Policy. We will not use their personal information for any other purpose without first seeking their consent, unless authorised or required by law. Generally, we will only use and disclose their personal information as follows:
- to establish and maintain the membership to SOPA;
- to provide the products, services or information members and event participants have requested from SOPA;
- to answer inquiry;
- to register them for events
- in accordance with SOPA’s Constitution;
- for direct marketing of products or services and to keep them informed of new developments we believe may be of interest to them.
5. Event bookings and payments
SOPA uses a third-party booking management plugin to manage bookings for paid events. Booking information submitted through that system may be stored in the website backend for administration and event management purposes.
Where online payment is made, payment processing is handled through a third-party provider, Stripe. Payment card details are entered into Stripe’s secure payment environment and are not stored by SOPA in the website database.
You should also review Stripe’s own privacy and security information, as Stripe handles personal and payment-related data in accordance with its own terms, policies and compliance obligations.
6. Member and club communications
SOPA may maintain email distribution lists for club communications. Access to those lists is restricted to a limited number of authorised executive or administrative personnel who require access for club operations.
At present, SOPA does not distribute marketing newsletters. Should marketing or newsletter subscriptions be introduced in future, SOPA will, where appropriate, provide users the ability to either opt in or opt out of any email list subscriptions.
7. Disclosure of personal information
We may disclose personal information to third parties where reasonably necessary for the purposes described in this policy, including website hosting and technical service providers, website plugin or software providers, payment processors such as Stripe, email, communications or administrative service providers, contractors, volunteers, office bearers or committee members who require access for legitimate club administration, governing bodies, event administrators or affiliated sporting organisations where reasonably necessary for bookings, participation or administration, legal, accounting, insurance, regulatory or professional advisers, and government, regulatory or law enforcement authorities where required or authorised by law.
We do not sell personal information.
8. Overseas disclosure and storage
Some third-party service providers used in connection with the website, hosting, plugins, cloud services, communications tools or payment processing may store or process information outside Australia.
For example, our website hosting provider or software providers may use servers or support services in other countries. At present, SOPA cannot guarantee that all website-related data is stored only in Australia.
Where personal information is disclosed to overseas service providers, we will take reasonable steps to use reputable providers and to ensure that arrangements are appropriate in the circumstances.

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. However, no internet transmission or electronic storage system is completely secure. While we take reasonable precautions, we cannot guarantee absolute security.
